Agreement and service operator
These Terms govern access to sMART EduForge Pro V2, a school-management platform operated by Sirchris Edutech Solutions. By registering a school, accepting an invitation or using the service, you agree to these Terms and the Privacy Policy.
A person registering a school confirms that they have authority to act for that institution. If you use the service through a school, the school’s policies and instructions also apply.
What the service provides
The platform supports school administration, staff and learner records, academic planning and results, attendance, fees and accounting, communication, transport, digital identity cards and dedicated portals for authorised roles. Features may be added, improved or retired as the service develops.
The platform assists school work. The school remains responsible for academic, employment, financial, disciplinary, transport, health, safety and safeguarding decisions.
Accounts and assigned roles
School administrators manage their school workspace and assign roles. Teachers, form masters, accountants, learners, parents and staff may only use features allowed for their role. Users must provide accurate information, protect credentials, use only their own account and report suspected unauthorised access.
Temporary or system-generated credentials must be handled securely and changed or reset when the school instructs. A school must promptly disable accounts for people who no longer require access.
School responsibilities
Each school is responsible for the accuracy and lawfulness of records it enters; providing required notices and obtaining any necessary authority or consent; verifying parent or guardian relationships; deciding retention periods; responding to data requests; managing role access; and maintaining appropriate offline procedures for emergencies and service interruptions.
The school must not upload information it has no right to use. It must review results, reports, balances, identity cards, route assignments and communications before relying on or publishing them.
Acceptable use
You must not use the service to break the law, harm or harass another person, falsify school or payment records, impersonate someone, bypass access controls, probe security, introduce malicious code, overload the service, scrape records, disclose another user’s credentials or access a school workspace without authority.
We may restrict or suspend access to protect users, investigate misuse, comply with law or preserve platform security.
Subscriptions, school fees and payments
The standard platform subscription includes a monthly maintenance charge currently set at GHS 100 per school. The billing date and paid-through period are shown in the platform. If renewal is not recorded by the due date, school access may be suspended and restored when the system administrator records reactivation; the next billing period is then calculated by the platform. Any future price change will be communicated before it applies.
School bank and mobile-money details are supplied by the school. Parent payment submissions are claims awaiting review until the school accountant confirms them. Part payments reduce a learner’s balance only after confirmation. The school is responsible for confirming funds in its own financial account, issuing any official receipt required and correcting errors through the authorised reconciliation or reversal process.
sMART EduForge Pro V2 does not currently transfer funds or operate a payment gateway. Users must never enter a bank PIN, mobile-money PIN or one-time password into the platform.
Google Classroom and other external services
A teacher or school may share a Google Classroom or other external link. Those services are operated independently and their own availability, terms and privacy practices apply. The school must make sure links are correct, appropriate and shared only with intended users.
Transport and identity-card features
Transport tracking is an information aid, not an emergency or guaranteed real-time location service. Location may be delayed or inaccurate because of device, network, power or user conditions. Schools, drivers and parents must maintain appropriate journey, pickup, safeguarding and emergency procedures.
Only authorised school staff may generate, download or print official learner and staff IDs. Users may view an ID assigned to them. QR verification is for identity checking and must not be copied, altered or used to impersonate another person. Lost, incorrect or expired cards should be reported to the school.
Availability, backups and changes
We aim to provide a reliable service, but maintenance, internet conditions, third-party failures and security events may cause interruptions. Schools should export critical records where available and maintain continuity procedures appropriate to their operations.
We may deploy security fixes, change technical requirements and temporarily limit features when needed to protect data or restore service. We will use reasonable efforts to communicate planned material interruptions.
Ownership and permitted use
Schools and users retain their rights in content and records they lawfully provide. They grant us the limited permission needed to host, process, back up and display that content to operate and secure the service.
The platform software, design, brand and documentation belong to Sirchris Edutech Solutions or its licensors. A valid subscription gives authorised users a limited, revocable, non-transferable right to use the service for the school’s internal education and administration.
Responsibility when something goes wrong
We will provide the service with reasonable care and will not exclude responsibility that Ghanaian law does not permit us to exclude. To the extent permitted by law, we are not responsible for losses caused by inaccurate school data, unauthorised credential sharing, external services, payment instructions supplied by a school, connectivity failures or decisions made without appropriate human review.
A school should notify us promptly of a material service problem and give us a reasonable opportunity to investigate and correct it.
Suspension and ending service
A school may stop using the service subject to its billing arrangement and any lawful record-retention duties. We may suspend or end access for non-payment, serious misuse, security risk or legal requirement. Where practical, we will give notice and a reasonable opportunity to correct the issue.
On closure, the school should arrange any available export before access ends. Data handling after closure follows the Privacy Policy and applicable law.
Ghana law, changes and contact
These Terms are governed by the laws of Ghana. The parties should first try in good faith to resolve a dispute through written notice and discussion. Rights to use a court, regulator or other remedy available under Ghanaian law remain unaffected.
We may revise these Terms as the service or law changes. The current version and date will be published here, and material changes may be announced in the platform. Questions may be sent to sirchrisedutechsolutions@gmail.com or 0207400525 / 0249617762.
